McQuade is team of chartered building surveyors, providing property advice and services to residential and commercial clients.

“We’re an information business," says Emma Steenson, Director of McQuade. “Like any professional services firm, we produce large volumes of documents. If we can’t manage our documents, then we can’t run an efficient service and develop as a successful business."

Haplo knew that as a growing company, McQuade needed more than simple document sharing. They needed a system tailored to their industry and their business.

The brief

“Our expansion was the reason for choosing Haplo," says Emma. “Once you move from one person using one computer to several people trying to work together, it’s critical you figure out how you’re going to share information effectively. Someone issuing the wrong version of a document to a client would have serious consequences for our business."

Emma also knew that buying, maintaining and learning about servers is expensive and time consuming. One of the key services Haplo could provide was a fully hosted solution.

The experience

McQuade had a long list of requirements, all of which could be accommodated by Haplo. In just a couple of days, Emma had her new information system up and running, and ready for her team. Over the following weeks we tweaked the configuration further, creating the perfect tailored solution for the business.

Haplo is hugely intuitive, it works the way you think it should. That’s made it easy to get the whole team using it. You don’t need any training.

“Unlike many systems, it’s human-focused," explains Emma. “They’ve thought about how people actually work with each other, rather than saying ‘this is what the system does and you must moderate your behaviour to fit in with it.'

“Haplo has taken a different approach to the problem of managing information. It elevates information handling way beyond most other systems. It provides lots of different ways to link information together, and to slice and view your information. It’s incredibly flexible.

“We’ve set up our Haplo so that everything is arranged around projects, which is exactly how our business operates. A team member can see all the documents, links, and people related to a project. Haplo automatically puts that key information right there on the project page.

“I love the flexibility to represent things exactly as they are. You can have multiple parties involved in a project, which matches how things are in the real world - you always have multiple parties involved in a property job.

“In Haplo things are linked to each other, things have relationships as they do in the real world. Where people know each other, you can record these relationships. In other systems, you might know about a relationship outside of the system and make the link yourself. Whereas Haplo does this for you and makes it obvious to everyone in the team.

The difference

Haplo has been really important in helping us develop our business," says Emma. “It’s now quicker for new staff to get up to speed — they know what’s going on, and can start working productively. Having things organised in a sensible way helps the whole team to work better, more easily.
